The Facilities Maintenance Manager will oversee the operation of all building systems, facilities upkeep, and grounds maintenance for The Open Door’s three campus locations. This person is responsible for ensuring the facilities are maintained, repaired, clean, safe, up to code, and fully operational. The Facilities Maintenance Manager will handle tasks related to repairs, maintenance, HVAC, electrical, and plumbing systems. This position reports to the Director of Finance and HR, and supervises one team member.

Duties include, but are not limited to:

  • Conduct regular inspections of facilities to determine the need for repairs or renovations. Schedule and perform repairs and/or renovations as needed.
  • Ensure compliance with safety, health, and environmental regulations across all campuses.
  • Manage and supervise all facilities staff (custodians, technicians, groundskeepers, etc.) and external contractors. This includes performance reviews for all in-house team members.
  • Manage the upkeep of equipment and supplies to meet health and safety standards.
  • Review utilities consumption and strive to minimize costs.
  • Oversee facilities activities like parking space allocation, waste disposal, building security, emergency management, and on-site meeting setup, etc.
  • Negotiate and manage contracts with vendors and service providers for maintenance, pest control, generator, HVAC, refrigeration, security, and other facility services.
  • Coordinate renovation projects, refurbishments, and office moves to minimize disruption to operations.
  • Develop and implement preventative maintenance procedures and schedules to maximize efficiency and reduce operational costs.
  • On call to respond to emergency situations during regular and off hours to handle repairs promptly to prevent operational downtime.
  • Maintain accurate records of maintenance work, inspections, and compliance activities.
  • Prepare and manage the annual maintenance budget, ensuring cost-effective resource allocation. Perform analysis and forecasting.
  • Collaborate with senior management to align facilities management with organizational goals and objectives.

Knowledge, Skills and Abilities Required

  • A commitment to social justice and the mission of The Open Door.
  • Knowledge of basic accounting and finance principles for budget management.
  • Technical expertise in building systems, such as HVAC, electrical, and plumbing.
  • Proficiency in facility management software and Microsoft Office Suite.
  • Proven experience as a Facilities Maintenance Manager or relevant managerial role.
  • Strong understanding of facilities management operations and best practices.
  • Ability to prioritize and multitask with adaptability and keen attention to detail.
  • Highly motivated with analytical/critical thinking skills.
  • Effective communication skills, both verbal and written.
  • A valid driver’s license.
  • The ability to lift 50 lb. climb a ladder and carry equipment and supplies.
  • CPR and First Aid Certified (will train)
  • Professional certifications such as Certified Facility Manager (CFM) are advantageous.
  • Assist with Special Events as requested/scheduled.
